  • messaging accounts;
  • CRM platforms;
  • calendar systems;
  • outreach platforms;
  • and other business tools.

The information available depends on the account, provider, permissions, and feature enabled.

Different connected-account features have different retention practices, as described below.

  • research markets;
  • identify opportunities and signals;
  • enrich records;

  • conduct Customer-authorized Outreach;
  • generate and personalize messages;

  • market Teevia where permitted;
  • comply with applicable law;
  • and improve the Services in ways consistent with the restrictions applicable to the information involved.

Private connected-account information is subject to the additional restrictions described below.

3. Artificial Intelligence

Teevia uses AI and automated systems to:

  • research companies;
  • analyze public information;
  • identify signals;
  • classify opportunities;
  • identify contacts;
  • summarize information;
  • analyze Customer-authorized relationship history;
  • generate recommendations;
  • draft and personalize outreach;
  • classify responses;
  • determine appropriate follow-up;
  • and assist with other Customer-facing workflows.

Third-party AI or infrastructure providers may process information where necessary to provide the Customer-requested functionality.

No generalized AI training using private conversations

Teevia does not use private connected-mailbox content or private Customer Outreach conversations to train generalized or shared AI models.

Teevia does not authorize third-party processors to independently use that information for generalized model training.

AI-generated results may not always be accurate or complete.

4. Two Different Types of Email Processing

Teevia handles two materially different categories of email information:

A. Historical Email Scanner Data

This is existing mailbox history analyzed to identify relationships, follow-ups, opportunities, and open loops.

Teevia does not intentionally maintain a permanent copy of historical raw email bodies through this feature.

B. Teevia Outreach Conversations

These are communications intentionally created, sent, received, or managed through Teevia Outreach.

Teevia may retain these messages because conversation history is necessary to manage outreach, understand replies, coordinate follow-up, and facilitate meetings.

The sections below explain the differences in more detail.

5. Historical Email Scanner

5.1 Purpose

The Email Scanner analyzes Customer-authorized existing business communication history to identify commercially meaningful relationship intelligence.

It may identify circumstances such as:

  • a prospect asking to reconnect;
  • an unanswered request;
  • a dormant relationship;
  • an incomplete introduction;
  • a stalled opportunity;
  • a former Customer worth reconnecting with;
  • a pending obligation;
  • or another commercial open loop.

The Email Scanner is designed to retain useful relationship intelligence rather than recreate the Customer’s historical inbox.

5.2 Authorization

A mailbox is accessed only after an authorized user connects it through the applicable provider process.

Customers are responsible for determining whether they have authority to connect the account.

5.3 Read access

The permissions necessary to operate the Email Scanner may technically allow Teevia to retrieve and read email messages.

This access is used for the Customer-authorized functionality.

Connecting an inbox for scanning does not automatically grant send permission.

5.4 Metadata

Teevia may retain limited metadata including:

  • sender;
  • recipients;
  • email addresses;
  • timestamps;
  • subject lines;
  • message identifiers;
  • thread identifiers;
  • synchronization information;
  • and limited header-derived classifications.

5.5 Historical message content

When deeper analysis is necessary, Teevia may retrieve message content.

Under the standard Email Scanner architecture:

  1. relevant content is retrieved when analysis is required;
  2. content is processed transiently through Teevia and applicable contracted processing infrastructure;
  3. automated systems analyze the communication history;
  4. structured commercial intelligence may be generated; and
  5. Teevia does not intentionally store the raw historical email body as a permanent mailbox copy in its application database.

Teevia is not designed to create a searchable archive of a Customer’s historical raw mailbox.

5.6 What Teevia may retain

We may retain:

  • contact identities;
  • email addresses;
  • companies;
  • roles;
  • subject lines;
  • timestamps;
  • relationship summaries;
  • interaction timing;
  • commercially relevant facts;
  • open loops;
  • next-step recommendations;
  • “why now” rationales;
  • opt-out information;
  • signal status;
  • and related structured relationship intelligence.

5.7 Paraphrasing

Teevia is designed to paraphrase relevant relationship intelligence rather than reproduce extended excerpts of historical private email conversations.

5.8 Personal information

Business inboxes may contain personal, sensitive, confidential, or unrelated information.

Teevia may necessarily process some information transiently before determining whether it is commercially relevant.

Our systems are designed to disregard unrelated personal information rather than retain it as relationship intelligence.

5.9 Attachments

The standard Email Scanner is designed around communication history and is not intended to maintain a broad archive of email attachments.

6. Teevia Outreach

Teevia Outreach allows Customers to authorize Teevia to conduct business-development communications on their behalf.

The primary purpose of this processing is to initiate Customer-authorized business conversations, manage relevant replies and follow-ups, and facilitate or schedule meetings.

Related processing may also occur where reasonably necessary to:

  • maintain conversation history;
  • route replies;
  • coordinate handoffs;
  • honor opt-outs;
  • support Customer users;
  • troubleshoot;
  • maintain security;
  • comply with legal obligations;
  • and document the Services provided.

6.1 Information used for Outreach

Teevia may process:

  • Customer-approved sender names;
  • company names;
  • titles;
  • brand information;
  • product and service information;
  • approved value propositions;
  • target criteria;
  • contact information;
  • prospect information;
  • professional profile information;
  • outreach history;
  • conversation history;
  • response status;
  • meeting information;
  • and related Customer instructions.

6.2 Messages sent and received

Unlike historical Email Scanner bodies, Teevia may store the content of messages intentionally sent, received, or managed through Teevia Outreach.

This may include:

  • initial outreach;
  • follow-up messages;
  • recipient replies;
  • qualification responses;
  • scheduling conversations;
  • handoff messages;
  • opt-out requests;
  • and other communications forming part of an Outreach conversation.

6.3 Why Teevia stores Outreach messages

We may retain these communications to:

  • know what was sent;
  • understand a recipient’s response;
  • avoid duplicate communications;
  • maintain context;
  • determine appropriate follow-up;
  • coordinate meetings;
  • route qualified responses;
  • maintain an activity history;
  • honor do-not-contact instructions;
  • support Customer users;
  • troubleshoot;
  • and provide the Outreach Service.

6.4 Human access

Authorized Teevia personnel may review Outreach conversations where reasonably necessary to provide the managed Outreach Service.

For example, personnel may review messages to:

  • understand a response;
  • determine whether a recipient is interested;
  • determine whether further follow-up is appropriate;
  • coordinate scheduling;
  • facilitate a Customer handoff;
  • troubleshoot a conversation;
  • or support the Customer.

This is materially different from giving Teevia personnel general access to browse a Customer’s unrelated historical inbox.

7. Authorized Outreach Accounts

Teevia Outreach may use various accounts or communications infrastructure authorized by the Customer.

We refer to these collectively as “Authorized Outreach Accounts.”

They may include:

  • Customer-owned email inboxes;
  • Customer-connected email accounts;
  • professional-networking accounts;
  • messaging accounts;
  • dedicated Teevia-managed mailboxes;
  • aliases;
  • reply-routing addresses;
  • outreach domains;
  • outreach subdomains;
  • and other communications accounts used for Customer-authorized Outreach.

8. Customer-Connected Outreach Accounts

Where a Customer connects an existing account, Teevia may process information available through the Customer-authorized permissions necessary to provide Outreach.

This may include:

  • account information;
  • contact information;
  • conversations;
  • messages;
  • responses;
  • and other information needed to conduct and manage Customer-authorized Outreach.

Customers are responsible for ensuring they have authority to connect the account and authorize Teevia’s processing.

9. Professional-Networking and Messaging Accounts

Where technically supported and permitted, Customers may connect professional-networking or messaging accounts for Outreach.

Depending on the integration, Teevia or an authorized technology provider may be able to:

  • send Customer-authorized messages;
  • retrieve or receive replies;
  • access relevant conversation history;
  • determine whether a recipient responded;
  • maintain conversation state;
  • and store relevant sent and received messages within Teevia.

Why professional-networking messages may be retained

These messages may be retained for the same limited Outreach purposes as email conversations, including:

  • maintaining context;
  • follow-up;
  • qualification;
  • opt-out handling;
  • conversation management;
  • meeting coordination;
  • and Customer handoff.

Platform restrictions

Professional-networking platforms have their own terms, policies, permissions, and technical limitations.

Teevia may limit, suspend, or disable integrations where an applicable provider restricts or prohibits the relevant method of access or automation.

10. Teevia-Configured Outreach Mailboxes and Sending Infrastructure

As part of Teevia Outreach, Teevia or its service providers may create, configure, or administer dedicated communications infrastructure for a Customer.

This may include:

  • email mailboxes;
  • email accounts;
  • domains;
  • subdomains;
  • aliases;
  • forwarding accounts;
  • reply-routing addresses;
  • sender identities;
  • authentication records;
  • and deliverability infrastructure.

Customer representation

These accounts may be configured to communicate for or on behalf of the Customer or an authorized Customer representative.

Teevia may use Customer-approved:

  • names;
  • titles;
  • company information;
  • branding;
  • domains;
  • signatures;
  • websites;
  • and scheduling information.

We do not intend to configure sending identities in a materially false or deceptive manner.

Messages stored in these accounts

Messages sent from or received by these accounts may be retained by Teevia or applicable communications providers as part of the Outreach conversation history.

Teevia may store or process:

  • sent messages;
  • replies;
  • threads;
  • sender and recipient information;
  • timestamps;
  • delivery information;
  • response classifications;
  • and related communication records.

Purpose

The primary purpose is to create and manage Customer-authorized business conversations and facilitate meetings.

11. Google Workspace and Gmail

Google user data receives additional protections.

Teevia’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Purpose limitation

Google Workspace information is used only for Customer-authorized, user-facing functionality.

Minimum necessary access

Teevia seeks to request only the permissions reasonably necessary for the functionality the user enables.

No advertising

Teevia does not use Google Workspace information obtained through connected accounts to:

  • create advertising audiences;
  • provide personalized or targeted advertising;
  • retarget individuals;
  • or measure third-party advertising audiences.

No sale or data brokerage

Teevia does not sell Google user data or provide it to data brokers or information resellers.

No generalized AI training

Teevia does not use Google Workspace mailbox content obtained through connected accounts to train generalized or shared AI models.

No credit use

Teevia does not use Google Workspace information to determine creditworthiness, lending eligibility, or similar financial eligibility.

No surveillance

Teevia does not transfer Google Workspace information for third-party surveillance purposes.

Human access

Teevia does not provide personnel with a general-purpose tool for routinely browsing a Customer’s preexisting Gmail inbox.

Human access to Google user data or data derived from it is limited as required by applicable Google policies.

Where Google functionality is used as part of a Customer-authorized, user-facing Outreach workflow, information is handled according to applicable Google requirements and solely as necessary to provide that functionality.

12. Microsoft Outlook and Microsoft 365

Customers may connect Microsoft Outlook or Microsoft 365.

Where authorized, Teevia may process mailbox information necessary to provide the enabled feature.

For historical mailbox scanning, Teevia applies substantially similar data-minimization practices to Microsoft email as described for the Email Scanner.

For Customer-authorized Outreach, Teevia may retain communications intentionally sent, received, or managed as part of that Outreach workflow.

13. Opt-Outs, Unsubscribes, and Suppression Data

Teevia may identify and retain information indicating that a recipient:

  • unsubscribed;
  • asked not to be contacted;
  • declined further outreach;
  • reported an issue;
  • or should otherwise be suppressed.

Teevia may use this information to prevent or discourage additional Outreach.

Suppression information may be retained even where other conversation information is deleted if reasonably necessary to honor the recipient’s request or satisfy applicable law.

14. Customer Data

Customers may provide information through:

  • uploads;
  • forms;
  • CRM integrations;
  • connected accounts;
  • APIs;
  • Email Scanner connections;
  • Outreach Accounts;
  • and other Services.

Where Teevia processes personal information on behalf of a Customer, the Customer may determine the purpose and means of processing and Teevia may act as a processor, service provider, contractor, or similar provider.

Customers are responsible for ensuring that they have appropriate authority or lawful basis to provide information and direct Teevia to process it.

15. Information About Outreach Recipients

Teevia Outreach necessarily processes information relating to people who may not themselves be Teevia users.

This may include:

  • name;
  • professional role;
  • employer;
  • business contact details;
  • professional profile information;
  • messages sent to the recipient;
  • messages received from the recipient;
  • response history;
  • opt-out information;
  • qualification information;
  • and scheduling information.

We process this information in connection with Customer-authorized B2B Outreach and related operations.

Teevia does not use private Outreach conversations to create unrelated consumer profiles or advertising audiences.

16. Data Isolation and Cross-Customer Use

Private connected-account information and private Outreach conversations are associated with the Customer organization for which they were processed.

Teevia does not intentionally expose one Customer’s private mailbox or Outreach conversations to another unrelated Customer.

Teevia does not use one Customer’s private communications to create another Customer’s private relationship intelligence.

17. No Advertising or Data Brokerage Using Private Communications

Teevia does not use private connected-mailbox information or private Outreach conversations to:

  • sell personal data;
  • sell conversation history;
  • provide data to brokers;
  • create third-party advertising audiences;
  • conduct behavioral advertising;
  • retarget individuals;
  • or create generalized commercial datasets of private conversations.

This limitation is separate from the website advertising and analytics activities described below.

18. How We Share Information

Service Providers

We may use vendors providing:

  • cloud infrastructure;
  • databases;
  • AI processing;
  • email infrastructure;
  • communications services;
  • professional-networking integrations;
  • authentication;
  • data processing;
  • enrichment;
  • CRM technology;
  • analytics;
  • security;
  • payment processing;
  • support;
  • and professional services.

Those providers may process information where reasonably necessary to provide services to Teevia.

We do not authorize subprocessors receiving private Customer communications to independently use that information for advertising, data brokerage, or generalized AI model training.

Customers

Teevia provides Customers with information and outputs created for their accounts.

One Customer’s private connected-account conversations are not intentionally provided to an unrelated Customer.

Within K Factory LLC

Information may be processed within K Factory LLC d/b/a City Innovations, Traction Labs, and Teevia to provide the Services, subject to appropriate access restrictions.

Business Transactions

Information may be involved in a merger, financing, acquisition, restructuring, sale, bankruptcy, or similar transaction, subject to applicable law, contract, and provider-specific requirements.

Legal and Safety

We may disclose information where reasonably necessary to:

  • comply with law or valid legal process;
  • protect rights or safety;
  • investigate fraud;
  • investigate abuse;
  • enforce agreements;
  • or respond to security incidents.

19. Advertising, Analytics, and Cookies

Our public website may use cookies, analytics, advertising, and similar technologies to:

  • understand website use;
  • measure marketing;
  • improve the website;
  • understand traffic sources;
  • and market Teevia.

Depending on jurisdiction, some activity may constitute a “sale,” “sharing,” or targeted advertising for privacy-law purposes.

Where required, we provide applicable choices.

Private communications are excluded

Our website advertising activities do not authorize us to use:

  • private Gmail data;
  • historical Email Scanner content;
  • private professional-networking conversations;
  • or private Teevia Outreach conversations

for targeted advertising or advertising audiences.

20. Business Communications and Marketing

We may use business contact information lawfully obtained from public, third-party, or Customer-authorized sources to communicate regarding Teevia or related Services.

Recipients may opt out of promotional email.

We may continue to send transactional, security, administrative, billing, or service messages where appropriate.

Private Customer mailbox information is not used to build unrelated Teevia marketing audiences.

21. Data Retention

Retention varies by data category.

Historical Email Scanner bodies

Under the standard Email Scanner architecture, raw historical email bodies used solely for relationship analysis are processed transiently rather than intentionally retained as permanent application-database copies.

Email Scanner metadata and derived intelligence

Teevia may retain limited metadata and derived relationship intelligence while necessary to provide the Services or until deleted pursuant to Customer instruction, applicable retention practices, or legal requirements.

Outreach conversations

Teevia may retain sent and received Outreach messages because they form part of the Customer’s Outreach history.

This may include:

  • Teevia-created mailbox messages;
  • Customer-connected Outreach mailbox messages;
  • professional-networking messages;
  • replies;
  • scheduling conversations;
  • opt-out requests;
  • and other Customer-authorized Outreach communications.

We retain these records for periods reasonably necessary to:

  • provide the Services;
  • maintain conversation context;
  • document activity;
  • honor opt-outs;
  • resolve disputes;
  • troubleshoot;
  • maintain security;
  • and satisfy legal or contractual requirements.

Connected-account authorization

Authorization tokens or credentials may be retained while necessary to operate an active integration.

When access is revoked, Teevia stops using the authorization to retrieve new information.

Business records

We may retain:

  • billing records;
  • contracts;
  • audit records;
  • security logs;
  • support records;
  • compliance information;
  • and transaction records

for applicable legal or operational periods.

Backups

Deleted information may remain temporarily in backups, disaster-recovery systems, security records, or limited archives until overwritten or expired through ordinary retention cycles.

22. Disconnecting Accounts and Deletion

Customers may disconnect supported integrations or revoke authorization through the applicable provider.

After revocation, Teevia stops retrieving new information through that authorization.

Disconnecting an account does not necessarily delete previously stored:

  • Outreach conversations;
  • derived relationship intelligence;
  • suppression information;
  • audit records;
  • or other Customer records.

Customers may request deletion of applicable Customer information through available product controls or by contacting us.

We will process valid deletion requests subject to:

  • contractual requirements;
  • legal obligations;
  • security requirements;
  • suppression obligations;
  • dispute preservation;
  • and ordinary backup retention.

23. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect information.

Depending on the system, these may include:

  • authentication;
  • encryption;
  • secure communications;
  • access controls;
  • role-based permissions;
  • least-privilege practices;
  • monitoring;
  • logging;
  • and logical Customer separation.

No internet-based system can guarantee absolute security.

24. Your Privacy Rights

Depending on where you live, you may have rights to:

  • request access;
  • request correction;
  • request deletion;
  • request information regarding use or disclosure;
  • obtain certain copies;
  • object to certain processing;
  • restrict certain processing;
  • opt out of qualifying sales, sharing, or targeted advertising;
  • withdraw consent where applicable;
  • or appeal certain privacy decisions.

These rights are subject to applicable exceptions.

We may verify your identity before fulfilling a request.

If Teevia processes your information solely on behalf of a Customer, we may direct the request to that Customer.

25. Business Professionals

Because Teevia provides B2B research and Outreach Services, we may maintain professional information about individuals who have not directly interacted with Teevia.

If you believe Teevia maintains professional information about you and want to request access, correction, or deletion, contact us using the information below.

This section does not mean that private information from one Customer’s mailbox is made available as general prospecting information to unrelated Customers.

26. Privacy Preference Signals

Where required by applicable law, we recognize qualifying privacy preference mechanisms such as Global Privacy Control.

Our response to other “Do Not Track” signals may vary as standards develop.

27. Children

Teevia is a B2B service and is not directed to children.

We do not knowingly offer the Services directly to children under 13 or another higher minimum age required by applicable law.

28. International Processing

Teevia is operated from the United States.

Information may be processed in the United States or other countries where Teevia or its service providers operate.

Where required, we use appropriate mechanisms for international transfers.

29. Third-Party Services

Teevia integrates with third-party services.

Those services have their own policies and terms.

Teevia is not responsible for independent third-party practices outside our control.

Nothing in this section reduces our obligations relating to information we provide to subprocessors on our behalf or provider-specific restrictions such as Google’s Limited Use requirements.

30. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in:

  • our Services;
  • integrations;
  • technology;
  • providers;
  • laws;
  • or business practices.

We will update the “Last updated” date when changes are made.

Where required, we will provide additional notice or obtain additional consent before materially expanding use of connected-account information.
